Henderson Hall fully appreciates the importance of absolute confidentiality in the recruitment process and has strict policies in place. You can be assured that any approach to us together with any information you provide will be treated with the strictest of confidence. If you provide us your CV, this will not be shared without your authorisation. Unless otherwise stated, your personal data is used solely for the purposes of the executive search and recruitment process. We will not sell or rent information to others and you can request deletion of the data we hold on you at any time.

As Data Controller, Henderson Hall Limited (Company Number 8361312) takes the privacy of all our website users, candidates, prospective candidates and clients very seriously and set out in this Privacy Notice how we handle and protect your personal data. Please note that this Privacy Notice may change and any updates will be posted onto our website.

 

Information We Collect

As we seek to provide our clients worldwide with the best available talent and/or to help individuals find suitable roles, we collect, process and use a variety of data with such intent. Information may be obtained from: yourself, to include but not limited to your name, address, contact details, other relevant information from your Curriculum Vitae; data from third parties such as your referees or other sources such as interviews, conversations, online databases; and any other forms of public resources such as social media, firm/company profiles and the press. In certain circumstances we may hold compliance/ID verification data. We do not seek nor wish to collect or process any sensitive or special categories of data (personal data revealing racial or ethnic origin, political opinions, religious or philosophical beliefs, trade union membership, biometric data, genetic data or data relating to one’s sex life or sexual orientation). Should you provide us with such information then unless otherwise stated you do so with consent to use such information in accordance with this Privacy Policy.

 

In our mission to provide our clients with the best available talent, support our candidates’ career aspirations and help them find suitable roles Henderson Hall requires, for the purposes of our legitimate interests or other legal basis for holding such information, a database of candidate and client personal data containing historical information as well as details of resourcing requirements.

 

How and What We Use Your Information For

To provide our services and to assess/access the best available legal talent personal data is collected and stored in our encrypted and password protected database which is accessible only by Henderson Hall approved people on pre-approved machines.

 

Our purpose and legitimate interests in storing personal data is:

  • to identify and evaluate suitable candidates for employment opportunities and future roles that become available;

  • to contact you about career opportunities we think you might be interested in;

  • to maintain our relationship and to fulfil any contractual obligations whether you are the client, supplier, candidate or user of our website;

  • to send you information concerning our client and/or to send information to our client to assess your suitability for a role;

  • to collate market specific information;

  • to provide you with on request marketing information

  • to contact you to carry out market research;

  • for internal record keeping of our dealings;

  • to improve our recruitment services;

  • to seek your consent to hold, process and use your data for any other purpose not listed; and

  • to ensure compliance with legal or regulatory requirements.

 

With Whom may your Information be Shared With

We may disclose your information or extracts of your personal data to:

  • our clients during recruitment/executive search assignments;

  • our employees and directors;

  • trusted third parties where they have been retained by us to provide services that you or our clients have requested, such as psychometric testing or qualification/reference checking agencies; and third parties entrusted by us to perform functions on our behalf and who also provide services to us, such as IT service providers and professional advisors – all these third parties comply with similar undertakings of privacy as Henderson Hall;

  • law enforcement or governmental officials; and

  • comply with legal or regulatory requirements.

 

Furthermore we may disclose or transfer your personal data in the event of a reorganization, merger, sale joint venture, assignment, or other transfer or disposition of all or any portion of our business.

Our services are bespoke and Henderson Hall does not engage in automated individual decision making or profiling.

Security, Storage and Retention

We are committed to ensuring that your information is secure. We have in place and keep under review technical and organisational security measures to ensure an appropriate level of security to protect your personal data from unauthorised or unlawful processing and from loss, destruction, damage, alteration or disclosure. Your Personal Data will be stored in our encrypted and password protected database which is accessible only by Henderson Hall approved people on pre-approved machines. Whilst under active consideration it may temporarily be stored in paper form prior to disposal in a secure manner.

 

Your Personal Data will be stored on servers housed within the European Economic Area. Your data may be transferred to clients (on specific assignments) or to trusted third party suppliers who reside outside the Economic European Area. We will ensure on any such transfer that appropriate transfer agreements are in place and take all reasonable steps to ensure to an adequate level of protection to your Personal Data.

 

We will keep your information only as long as there is a legitimate interest in our doing so and it is reasonably necessary to achieve the purposes stated in this Privacy Policy or to comply with any statutory, legal, accounting or regulatory requirements. As we assist clients and candidates with placements over many years and throughout their professional careers we retain personal data for as long as is necessary. In so doing, we carry out periodic reviews of the accuracy and the necessity of the data we hold. Where your personal data is no longer required, we will ensure it is disposed of in a secure manner.

 

Your Rights

Under Data Protection legislation, where Henderson Hall is the Data Controller then in relation to the Personal Data we hold on you, you have rights to:

  • Request Erasure – right to have Personal Data deleted or right to be ‘forgotten’

  • Request Access – right to request a copy of the information we hold on you

  • Request Rectification – right to have Personal Data rectified or completed if incomplete

  • Request Restriction – right to request restriction or suppression of Personal Data

  • Lodge a Complaint to a supervising body

  • Data Portability – right to have Personal Data transferred to another environment

  • Object – right to object to processing Personal Data

 

If you wish to make any such request then please submit your request in writing together with proof of your identity and address (a copy of your driving licence or passport plus a recent utility or bank/credit card bill). We will use reasonable endeavours to comply with any such request. However there may be circumstances where we may not be able to provide access or to fully comply. For example, where producing the information may reveal the identity of another person. If you were to request a deletion of your file, we may not be able to do so should your file hold information about our client or financial information that we need to keep for up to seven years. In those circumstances we will minimise the data we hold on you and retain only what we are obliged to.
